Software for independent hotels

The operating system for your hotel

Running a hotel today takes four programs that don't talk to each other. Here they are one: PMS, revenue management, CRM with an AI receptionist and cost control.

The OS dashboard: today's occupancy, covers for breakfast, lunch and dinner, open faults and pickup, room revenue, ADR and the day's takings, the day's notes, the arrivals list with its check-in button, the fill for the next two weeks and room revenue for the month
The day inside OS — occupancy, covers, arrivals, takings and the fill for the next two weeks, without opening anything else. Interface shown in Italian.
  • One set of data

The occupancy revenue management sees is the PMS's occupancy. There are not two versions of the truth to reconcile at month end.

  • Work that does itself

Confirmations, the housekeeping plan, the tourist tax, tax documents: they come out of data already in the system, with nobody retyping them.

  • One piece of software

The modules are not more browser tabs: their features are used inside OS, and on top of the PMS they cost far less than they do on their own.

Automation

The repetitive part is done by the system

In an independent property the time goes into steps nobody chose: copying, double-checking, remembering. Those are exactly the steps a machine does better than a person, and in OS they are not an option to configure separately: they are how it normally runs.

  • Guest email

Confirmation, amendment, cancellation, payment receipt and option reminders go out on their own, using the template you wrote.

  • The housekeeping plan

The day's work is generated from arrivals, departures and stayovers: where the linen changes and where it doesn't is decided by the rule, not by memory.

  • The tourist tax

Worked out from guest nights, with age exemptions applied automatically. At month end there is a screen to check, not a form to fill in.

  • Tax documents

Electronic invoices and commercial receipts are built from accounts already closed, and filed with the revenue agency.

  • Availability on the channels

What sells at the property goes down to the portals, and bookings from the portals come back without passing through an inbox.

  • Prices, every night

With RatePilot the rates are rebuilt on real demand and land back inside the tableau, ready to sell.

  • Rooms that assign themselves

A booking that came in without a room is often not overbooking: the room exists but sits in the wrong place, and OS redoes the layout by moving guests who have not arrived yet.

  • Faults that route themselves

Housekeeping reports a fault from their own page; it shows on reception's tableau and on the technician's list, who has a page of their own to close it.

The Automations tab in OS: seven active rules tying an event — confirmation, amendment, cancellation, tax document, payment, option, expiry — to the message to send
Every automation ties an event to a message. They switch on, they switch off, and you write the text. Interface shown in Italian.

The ecosystem

More than an all-in-one PMS

RatePilot and CostCore sell on their own, and they work on the PMS you already have. But it is with OS underneath that they stop being separate programs: one account, one set of data, and their features inside the same interface you work in all day.

OS

Rooms, rates, bookings, guest nights, takings.
The data is written here once.

  • inside OS: prices and restrictions on the tableau

    RatePilot Revenue management
  • inside OS: costs beside the revenue OS records

    CostCore Management accounting
  • inside OS: replies and quotes on real availability

    Ambra Receptionist AI
The three modules are not more windows to keep open: their work shows up where it is needed, inside the PMS.
  • Added when you need them

You start from OS and switch on one module at a time, the day it makes sense. There is no migration to repeat at every step.

  • Far cheaper on top of OS

Added to the PMS, RatePilot, Ambra and CostCore come on terms far below what they cost separately. We'll walk you through the suite pricing in half an hour.

  • Still whole products

If you already have a PMS and you are keeping it, RatePilot or CostCore work on their own: same job, the data just arrives from somewhere else.

What changes

The problem is not a shortage of data

It is that the data sits in seven different places and never agrees. Almost every independent property works this way, and nobody decided to: you get there one program at a time.

How it works today

  • The PMS in one place, the channel manager in another
  • Four programs, four sign-ins, four interfaces to learn
  • The accounts in a spreadsheet
  • The tourist tax in a portal, filled in by hand the month after
  • Prices decided on a Sunday evening, looking at the competition
  • Enquiries sitting in an inbox until Monday

With OS

  • One sign-in, and permissions revoked in one place
  • One program: the modules' features are used inside OS
  • The books close themselves instead of being rebuilt
  • Compliance worked out from guest nights already recorded
  • Prices redone every night on real demand
  • Enquiries answered before anyone opens a laptop
